HOW YOU WILL SPEND YOUR TIME
- Maintain real-time visibility into team capacity and ensure every project has a clear owner and a realistic timeline.

Own the schedule as the single source of truth. While leadership provides the priority direction, you have the autonomy to decide when work happens and who does it.
- Manage rolling capacity forecasts, targeting one-week visibility for support tasks and two-to-four-week visibility for larger website projects.
- Balance workloads across the team and maintain scheduling buffers to ensure unplanned work doesn't derail active projects.
- Build and maintain scheduling and capacity dashboards in Asana to give leadership real-time visibility into utilization and at-risk delivery.
- Lead regular traffic meetings to align the team, surface blockers, and communicate schedule changes or delivery risks proactively to the Director of Delivery.
- Conduct regular audits of time tracking to ensure the team is compliant and that your future capacity forecasts remain accurate.
WHO YOU ARE
- You have 3+ years of experience in operations, project management, or resource management, ideally within a digital agency.
- You have deep experience with Asana (or similar robust PM tools) and know how to build dashboards that provide real-time visibility.
- You notice bottlenecks forming early and instinctively know where capacity is tightening.
- You have a natural instinct for keeping systems clean, current, and accurate.
- You look for ways to make processes simpler and more reliable over time.
- You thrive in fast-moving, varied environments where the pace is real.
